Roles and Responsibilities

  • Responsible for all aspects of the coordination and facilitation of the summer internship program across NJ TRANSIT.
  • First point of contact for the hiring of summer internship program throughout all NJ TRANSIT departments.
  • Establishes, coordinates and tracks relationships with potential recruiting sources to create recruiting pipelines to support Human Resources' recruiting teams; to include, colleges, universities, employment agencies, professional organizations, military/educational/vocation/Higher-Ed/Secondary-Ed institutions, internet advertising, job fairs/open houses, social media campaigns, etc.
  • Conducts information session, lunch & learn training sessions and job fairs on site/ and or virtually; ensure clear understanding of internship program to appropriate hiring business units.
  • Ensures that all interns are handled with the utmost attention and consideration while processing through the entire program
  • Organizes and expedites the flow of work from intern recruiting efforts through on boarding of interns as they work closely with different internal and external stakeholders.
  • Manages all administrative functions for the intern program and other outreach efforts, i.e. intern hire database, outreach contact database, HRM-1 processing, information session presentations, internship SOP, reviewing of intern resumes, etc.; simultaneously handling multiple transactions in a timely manner.
  • Works closely with department intern by coaching and mentoring as needed regarding the Outreach Units processes and procedures.
  • Maintains ATS system while process departments job description and intern profiles.
  • Audits all interns request to ensure all necessary documentation is accounted for from internal Departments.
  • May serve as a backup to the Sr. Director, as necessary, i.e., Police Department Agreement and
  • Non-agreement hiring 
  • Works on projects or other tasks as directed by the Deputy Chief of HR.
  • Education, Experience and Qualifications

  • Bachelor's Degree in Human Resources or related area, and three (3) years of recruiting experience in transportation, utility, non-profit or service industry. 
  • Demonstrated experience in managing of processes, procedures and ability to work in a fast-paced environment is required.
  • Experience making presentations in person or other platform sources is required.
  • Experience drafting SOP is required.
  • Must have experience implementing, evaluating and making improvements with processes and procedures.
  • Must have extensive experience in identifying, attracting, and selecting qualified applicants to match with qualified job openings.
  • Knowledge of state and federal employment laws and regulations; especially when dealing with international students is required
  • Experience supporting senior executive staff and experience working with outside agencies is required.
  • Must be willing to travel to off hours and on weekends as needed.
  • Knowledge and Skills

  • Ability to handle difficult situations with the highest level of courtesy possible and make good and timely decisions.
  • Ability to collaborate with all levels of management, energetic and ability to learn quickly.
  • Knowledge of social network and innovative internet recruiting method is required.
  • Experience with College career services platform is required
  • Strong knowledge and proficiency in agency, state and federal computerized systems is preferred.
  • Advance proficiency with Microsoft Office suite, i.e., Outlook, Word, PowerPoint, and Excel required.
  • Utilizing an applicant tracking system required.
  • Strong written and verbal communication, personal presentation, organizational and time management skills, demonstrate face to face customer service skills
  • Must be able to travel as needed to attend off site events during evening hours or weekends as needed.
